FOR SCALING TEAMS WHO’VE OUTGROWN BASIC SYSTEMS
Pivot With a Plan™: Two-Day Team Systems Retreat
The layers within your team are growing fast. From more locations, departments, programs, services, and initiatives. Everyone is busy, but not always on the same page. Pivot With a Plan™ is a two-day, on-site professional development working retreat that helps your leadership team redesign how you work together so every division, role, and system supports the vision and allows your team to move forward with ease and excellence.
What CPS & Co. Comes In To Help You Change.
Right now, everyone is moving, but not always in the same direction. You’re already know something has to change, and your team doesn’t need another meeting to discuss it. This retreat is where we face the problems truthfully and change how things run.
Because you cannot afford to leave the systems operating like this.
-
Multi-level operations where everyone works their own way instead of one shared way.
Fast growth with systems that never caught up.
A vision that’s clear at the top but disconnected from the people doing the actual work.
Too many tools, platforms, and processes—and no real clarity on which ones actually help.
Roles and responsibilities that look good on paper but aren’t clear in daily practice.
The same “hard workers” constantly overloaded while others skate by.
Teams being told what to do, but rarely taught how to do it through effective training and support.
If even a few of those lines hit home, your systems are costing you margin, momentum, and morale.
Pivot With a Plan™ gives your team a clear way to fix it…together.
What Pivot With a Plan™ Does for Your Team
Pivot With a Plan™ is not another “team connecting” retreat. It’s a focused working session where we step back from the noise and examine how your team is actually operating. We help you shift direction with order by naming what’s not working, deciding what needs to change, and building systems that match the level you’re actually operating at.
Over two days, we bring your executive and key leaders into the same room to design one clear way of working across all your divisions or departments. We connect the people doing the work to the vision that drives it, clarify who owns what, and create a system that supports your whole team rather than burning out the few who “work hard.”

How the Two Days Run for Your Team
-

01 - Before the Retreat
We start by understanding your team’s world before we ever step into the room. That way, our time together is about solving the right problems, not discovering them.
WHAT TO EXPECT:
•Pre-retreat leadership intake to understand your structure, priorities, and pressure points.
•Review of your current org chart, key roles, and main systems/tools in use.
•Short survey or interviews with selected leaders and team members to understand what’s really happening on the ground.
-

02 – Day 1: Reveal the Truth About How the Work Actually Happens
Day 1 is about getting everything out of your heads and onto the table. We map how things really work today, not how they work on paper, so everyone can see the gaps and duplicate effort clearly.
WHAT TO EXPECT:
•Align on the real vision and what “success” should look like in the next 6-12 months.
•Map current workflows across key areas (ex. communication, projects, training, etc.).
•Surface breakdowns: unclear roles, overlapping ownership, bottlenecks, and “only this person knows how” work.
•Identify the most important systems to fix first, so we’re not trying to overhaul everything at once.
-

03 – Day 2: Redesign How You Work Together
Day 2 is where we pivot with a plan. We redesign roles, workflows, and communication so your team has one clear way of operating going forward.
WHAT TO EXPECT:
•Clarify and reset key roles and responsibilities so people know what they truly own.
•Redesign critical workflows so handoffs are clear and repeatable across teams or departments.
•Establish simple standards for meetings, decisions, and communication (who decides what, and how).
•Outline key SOP/process templates the entire team will use.
•Build a practical Action Map: what changes now, who’s responsible, and how progress will be tracked.
-

04 – Team Executive Systems Coaching
The real change doesn’t happen in two days; it happens in the months that follow. Our 90-Day Executive Systems Coaching supports your leaders as they walk out the new operating system in real time.
WHAT TO EXPECT:
•Monthly group or 1:1 leadership coaching focused on planning, delegation, and follow-through.
•Ongoing refinement of the new systems as your team uses them.
•Direct operational support for leaders who are adjusting how they lead.

Build Your Team’s Visionary Operating System™ (VOS™)
During your two-day team retreat, we’re building your Visionary Operating System™ (VOS™): a seven-part structure that brings order, ease, and clear expectations to how your team really operates day-to-day, from the vision down to the daily work.
-
Clarifying the over-arching vision, the values you stand for, who you serve, and how your team shows up for customers, so everyone knows what they’re building toward.
-
Aligning how people experience the value you create: the offers, programs, and experiences you deliver, and the way they’re structured, packaged, and supported by the right team and systems.
-
Mapping out how work actually moves from idea to completion so your team isn’t relying on memory or “how it’s always been done.”
-
Defining who does what, how roles support the vision, and how you train, coach, and develop your people to do the work exceptionally well.
-
Setting clear standards, boundaries, and decision rules so expectations are consistent rather than based on personality or mood.
-
Analyzing and simplifying the tools you use (software, systems, platforms) so they support the ease of completing the work instead of complicating it.
-
Deciding what you track, how often you review it, and how you use it to make real decisions; not just dashboards that look good.

The retreat framework stays the same, but what we map, redesign, and decide is tailored to the people you serve and the daily pressure your team carries.
-
When we’re with school leaders and educators, we focus on the systems that connect the student, staff, and home experience. Our primary goal is to help your team create real synergy—so students experience a cohesive learning day rather than a new universe in every classroom. We strengthen this by designing school-wide templates, routines, and rhythms that simplify expectations and help students build healthy independence, even while they’re context-switching all day.
-
With salons and beauty brands, we focus on the systems that shape the guest and team experience—from booking and consultation to service, checkout, and follow-up. We help you translate your brand standard into simple, repeatable ways of working behind the chair and behind the scenes, so excellence isn’t dependent on who’s on the schedule that day. The result: a smoother flow for your team and a consistent, elevated experience for every client.
-
For churches and ministries, we focus on how vision, people, and programming come together week after week. That means clarifying roles, service flow, volunteer systems, communication, and follow-up so your teams can serve with excellence instead of burnout and confusion. We build structures that protect the integrity of your message while making it easier for staff and volunteers to carry it out with consistency and care.
-
In senior and aging care, we focus on the daily systems that families and residents feel the most: care routines, communication, documentation, and transitions. We help your team create clear, dependable patterns so staff know exactly what “excellent care” looks like in practice—and families experience stability, not guesswork. The goal is simple: residents are treated with dignity, staff are supported, and the way you operate reflects the heart behind your work.
-
With coaching, consulting, and agency teams, we zoom in on your full client journey—from inquiry and onboarding to delivery, communication, and offboarding. We streamline your offers, project flow, and internal decision-making so your team isn’t reinventing the process for every client or relying on “whoever remembers.” That means cleaner boundaries, clearer expectations, and a client experience that feels intentional, not improvised.
-
For leasing and property teams, we focus on the systems that keep communities stable: maintenance requests, renewals, communication, move-ins, and move-outs. We help you design a clear, consistent way of working so important details stop slipping through the cracks and tenants feel seen, informed, and cared for. Your team gains structure that makes their work easier, while your residents experience the excellence you’ve always intended.
Your team doesn’t need more meetings to discuss the problems. You need a plan to pivot with.
If you know your organization can’t keep operating the way it is, but you’re not sure where to start, Pivot With a Plan™ gives you a real path forward with one retreat, one operating system, and one clear way of working across your team.
